Production Coordinator – Horsham, UK

Job Overview

We are looking for a highly organised and proactive Production Coordinator to focus on the administration and workflow management of a range of production-support activities.

Production Coordinator at Envision Pharma Group

The work of the Production Coordinator falls into two broad areas:

Production Support

  • Source cost- and turnaround-time estimates for both digital and print projects, as required.

  • Develop and coordinate production schedules including key milestone dates.

  • Confirm delivery specifications and cost analysis reports for budget approval.

  • Track production progress and review factors which may affect schedules.

  • Provide both internal teams and external vendors with status updates on projects, as well as an overview of  upcoming work.

  • Organise, package, dispatch and track print and other materials across multiple clients for various medical congresses.

  • Source vendors for specific types of work, ie, data sticks, pens, or exhibit booth work.

  • Troubleshoot unanticipated issues, ie, source alternate print solutions when on-site changes are required.

  • Manage and monitor materials inventories.

Project Management

  • Follow department workflow to ensure all work is approved and delivered to deadlines.

  • Create and maintain records using internal tracking software.

  • Assist with special projects such as pitches, proposals, or other meeting preparations.

  • Work closely with internal teams to alleviate stress deadlines and pinch points.

  • General administrative support across the department as needed, including capturing meeting notes and following up on action items.

Role Requirements

  • Exceptionally strong organisational skills and the ability to prioritise projects.

  • Meticulous attention to detail.

  • Be a dynamic, approachable proactive team player who can communicate effectively with other team members at all organisational levels.

  • The ability to remain calm under pressure and to meet very short deadlines.

  • Analytical thinking in both linear and non-linear approach to restructure and resolve immediate issues.

  • Previous experience as a traffic or production coordinator, or similar role in a fast-paced environment.

  • Understanding of the print and digital production processes would be an advantage.

  • Good working knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

  • Knowledge of Datavision would be an advantage.
